Carnegie is seeking a Digital Archivist to implement and manage Carnegie’s WIDEN digital asset management system; collect, preserve, organize, and describe Carnegie’s digital resources; digitizing photographs, documents, and other print archives; providing internal and external user support.

Digital Archivist

Location:     Carnegie Science, Headquarters

Hours:          This is a temporary, 9-month assignment

Pay:               $37,500K & Benefits (salary is indicated for 9- month assignment)

Position Summary:

The Digital Archivist is responsible for implementing and managing Carnegie’s WIDEN digital asset management system; collecting, preserving, organizing, and describing Carnegie’s digital resources; digitizing photographs, documents, and other print archives; providing internal and external user support.  Specifically, the Digital Archivist will:

  • Lead implementation and development of the WIDEN digital asset management system at Carnegie in conjunction with vendor, Carnegie IT staff, and the Carnegie P Street communications office
  • Develop and implement digital archive management policies, procedures, and workflows
  • Collect, organize, ingest, and catalog digital assets including images, audio/video recordings, presentations, publications, spreadsheets, documents, data sets, and binary computer files
  • Select appropriate metadata schema(s)
  • Create and manage taxonomies/controlled vocabularies
  • Coordinate with administrative divisions (Communications, Development, Office of the President, Library/Archives) and research departments in identifying and collecting digital assets
  • Develop criteria for prioritizing processing and establishing timelines
  • Digitize photographs and other print materials according to best practices
  • Prepare and maintain accurate documentation of DAM-related procedures and specifications
  • Authorize and train DAM contributors and editors
  • Work with development staff to produce an effective integration of DAM with Salesforce software systems
  • Ensure that metadata created by all contributors/editors conforms to specifications
  • Manage DAM user roles and permissions
  • Manage usage rights for assets
  • Help design a public user interface to enable web-based discovery and retrieval of public assets
  • Respond to support requests from internal and external users (in conjunction with IT staff)
  • Generate DAM administrative and usage reports
  • Perform other related duties as assigned

Education and Experience:

  • Required: Master’s degree in archival studies, library/information science, electronic records management, digital curation, or related field with two years demonstrated experience in digital asset management
  • Preferred: Digital Archives Specialist certification from the Society of American Archivists

Knowledge and Skill Requirements:

  • At least two years of experience working with WIDEN or comparable digital asset management system
  • At least two years of experience processing digital archival collections, including images, audio/video, publications, documents, and other digital asset types
  • In-depth understanding of descriptive, technical, structural, and administrative metadata
  • Experience designing and applying taxonomies/controlled vocabulary
  • Familiarity with best practices for image and document digitization
  • Familiarity with best practices for digital media organization and preservation
  • Ability to develop and apply workflows, policies, and procedures
  • Ability to work independently as well as collaboratively on a small team
  • Effective verbal, written, and interpersonal communication skills
  • Ability to train DAM contributors and editors and provide effective user support
  • Ability to coordinate DAM activities among multiple stakeholders and manage competing priorities
  • Ability to set and maintain concurrent deadlines
  • Ability to pack, lift, and move boxes weighing up to 30 pounds
  • Ability to climb a 6-step ladder and negotiate sometimes-cramped storage spaces
